Before you choose

Price five users, not one

Nine of the ten charge per user, seat or member, so the price on the card is only the start. At the regular price billed annually, five users on the entry plan cost:

  • Zoho Projects Premium: $20 a month ($4 a user).
  • Trello Standard: $25 a month ($5 a user).
  • Basecamp Freelancer: a flat $25 a month for up to 20 users and 3 active projects. It bills monthly only.
  • ClickUp Unlimited: $35 a month ($7 a user).
  • monday.com Basic: $45 a month ($9 a seat).
  • Smartsheet Pro: $45 a month ($9 a member).
  • Teamwork.com Basics: $49.95 a month ($9.99 a user).
  • Wrike Team: $50 a month ($10 a user). Wrike shows no monthly-billing price.
  • Notion Plus: $50 a month ($10 a member).
  • Asana Starter: $54.95 a month ($10.99 a user).

Paying month to month raises each per-user price: ClickUp to $10, Asana to $13.49, Teamwork.com to $13.99, monday.com, Notion and Smartsheet to $12, Trello to $6 and Zoho Projects to $5. Checked Oct 1, 2026.

Read the seat rules before you buy

Some entry plans set a minimum or maximum team size, or sell seats in blocks.

  • monday.com sells seats in bundles, and its plans start from 3 users.
  • Wrike sells seats in groups of five for accounts of up to 30 seats. Team is for 2 to 15 users.
  • Teamwork.com Basics needs at least 3 users.
  • Smartsheet Pro is for 1 to 10 members. Past that you need Business or Enterprise.
  • Basecamp Freelancer stops at 20 people, and clients, contractors and guests all count toward that.
  • Notion says Plus may not be available for every workspace. Without it, a team starts at Business, $20 a member billed yearly.

Check what the entry plan leaves out

We check five things on each entry plan: kanban boards, a timeline or Gantt view, automation, guest or client access and a mobile app.

  • Asana, ClickUp, Notion, Smartsheet, Teamwork.com and Wrike include all five. Read the limits, though. ClickUp's Gantt charts are unlimited on Unlimited, but its separate Timeline view is only a trial there. Smartsheet Pro lets clients in free as Contributors, who can view and comment but not edit. Wrike Team allows 50 automation actions a seat a month.
  • Trello Standard includes four. Timeline view starts at Premium.
  • Basecamp Freelancer includes four. Its pages name no workflow automation, and its timeline, The Lineup, plots whole projects rather than tasks.
  • Zoho Projects Premium includes four. Clients are a paid add-on: $4 a client user a month billed annually, or $5 monthly. Its full comparison gives Premium 500 automation executions a month, though the plan card says 5,000; plan on 500.
  • monday.com Basic includes two: boards and the mobile apps. Timeline and Gantt views, automations and guest access start at Standard. Basic does give you unlimited free viewers, who can only look.

If you do client work

Our ranking for agencies lists the tools whose own pages state at least two of these, on the entry plan or as a stated add-on: a client portal or client approvals, built-in time tracking, billable hours or invoicing, and proofing. Three qualify.

  • Teamwork.com Basics has time tracking, billable time and 20 proofs, and client users are free. Clients can review and approve proofs without a Teamwork.com account. Invoices start at Accelerate.
  • Zoho Projects Premium has timesheets and marks time billable or not. Turning timesheets into invoices needs Zoho Invoice or Zoho Books, which are separate products. Client users cost extra, as above.
  • ClickUp Unlimited has native time tracking and guests with permission control. Billable time and unlimited proofing start at Business.

Asana, Basecamp, Notion, Smartsheet, Trello and Wrike state only client access on the entry plan, and monday.com Basic states none of the four. Asana adds time tracking and proofing at Advanced, and Basecamp adds time tracking at Pro, $99 a month. Checked Oct 1, 2026.

How the ranking weighs them

The monthly cost for five users counts for 35% of the score, what the entry plan includes 25%, a free plan or trial and support 15% each, and storage 10%. If one of these matters more to you than its weight, read the ranking with that in mind. The formula behind each criterion is on how we score project management software.

What support comes with the entry plan?

  • Zoho Projects: live chat and toll-free phone, 8 hours a day, Monday to Friday.
  • ClickUp, monday.com and Smartsheet: 24/7 chat that reaches a person. ClickUp says it does not offer phone support, we didn't find a phone line for monday.com, and Smartsheet keeps phone support for its Standard and Premium support packages.
  • Teamwork.com: live chat and email, Monday to Friday 7.00am to 12.00am IST, with limited weekend cover.
  • Wrike: live chat. A direct phone line needs a Premium support package.
  • Basecamp answers a web form by email. Asana opens a support case through its chatbot, Notion takes messages in the app or by email, and Trello Standard answers tickets in local business hours.

Checked Oct 1, 2026.

  • ClickUp, Notion, Asana and Trello have unlimited storage. Asana caps each file at 100 MB and Trello at 250 MB.
  • Zoho Projects Premium and Teamwork.com Basics have 100 GB for the account.
  • Smartsheet Pro has 20 GB, with a 30 MB limit per file.
  • Wrike Team has 2 GB a user, 10 GB for five.
  • Basecamp Freelancer and monday.com Basic have 5 GB. monday.com's table doesn't say per seat, so we read it as 5 GB for the account.
