Password managers
Password managers for agencies: sharing with clients, a vault per client, permissions and import
Quick answer
All 9 business password managers we rank state at least two of the four things an agency needs on their entry plan. Six state all four: RoboForm, Proton Pass, LastPass, Bitwarden, 1Password and Dashlane. Zoho Vault Standard shares single passwords but not folders. Keeper Business Starter and NordPass Teams state only sharing outside the account and import; shared folders need their Business plans.

An agency holds logins that aren't its own: a client's ad account, hosting panel, social profiles. Four things matter: sharing a login with someone outside your account, often the client; a separate shared vault for each client; view-only or edit rights on that vault; and importing what you already keep in another manager. Here is what each company in our business password manager ranking says about each, on its entry business plan (the cheapest business plan that allows five users). All were read on Oct 1, 2026.
Sharing a login with someone outside your account
- Proton Pass: secure link sharing works "with anyone, even if they don’t use Proton Pass". Links expire after 7 days by default. Pass Essentials is $1.99 a user a month billed annually.
- 1Password: "Share items securely with anyone", people without 1Password included, with "temporary sharing, expiration dates, and share history", on the Teams Starter Pack ($24.95 a month billed annually for 10 members). It also allows 5 guest accounts limited to specific vaults.
- Bitwarden: Send can "Transmit data securely to anyone, even non Bitwarden users", text and files, on Teams ($4 a user).
- LastPass: "You can share an item with a LastPass user, or someone who does not have a LastPass account." Single shared items don't sync later edits.
- Zoho Vault: you can share "with third parties, such as contractors or freelancers, even if they don't have a Zoho Vault account". It's view-only, through a link that lasts 30 minutes to 24 hours.
- Keeper: One-Time Share is "Time-limited secure sharing of a record with anyone even if they don't have a Keeper account", ticked for Business Starter.
- Recipient needs the app: Dashlane says "to share a password the recipient must have Dashlane" (the free version is enough). NordPass shares "with a colleague or a friend", who accepts the item into their own NordPass vault. RoboForm shares "to another RoboForm user", and in a new Business company sharing is off until an admin turns off the "Disable RoboForm File Sharing" policy.
A separate shared vault for each client
- 1Password: "To create a custom vault, select Custom and give your vault a name." Each vault is shared with chosen people or groups.
- Proton Pass: "Add the items to a vault you’d like to share. This can be an existing vault, or you can create a new one for the purpose."
- Bitwarden: "Unlimited sharing through collections" and user groups on Teams.
- LastPass: shared folders from the Sharing Center, on Teams and up.
- RoboForm: "RoboForm Company Groups allow the company to assign RoboForm data and to deploy RoboForm security policies to company users." Members see each group as a folder.
- Dashlane: "you can share a single password or an entire category of passwords with an individual or multiple people", with unlimited collections.
- Not on the entry plan: Zoho Vault says "Share folders (Available only in Professional and Enterprise Editions)"; Professional is US$4.50 a user a month billed annually. NordPass lists "Credential sharing by folder" as a Business addition. Keeper contradicts itself: the comparison table ticks "Shared team folders" for Business Starter, while the Business card lists them as an addition. We use the worse reading: Business only.
View-only or edit rights per vault
- 1Password: "1Password Teams includes three permissions: Allow Viewing", Allow Editing and Allow Managing, per vault. Business gets finer permissions.
- Bitwarden: "By default, users and groups receive View items permission", with edit and manage options per collection.
- Proton Pass: "They can view or edit passwords or be an admin for the vault."
- LastPass: per user or group on each shared folder, including "Read Only" and Hide Passwords.
- RoboForm: "one of three following role-based permission levels for each group": Limited, Regular or Group Manager.
- Dashlane: "you have the option to grant full or limited rights, allowing you to control who can see, change or share those passwords."
- Zoho Vault: One click login only, View, Modify or Manage. On Standard these apply per shared password; per folder they start at Professional.
- Per item only: Keeper offers "view only" and edit rights on a shared record, and NordPass "Can edit" or "Can view" on a shared item. Per-folder rights need their Business plans.
Importing from another password manager
All nine say you can.
- RoboForm: guides for LastPass, Dashlane, Bitwarden and others.
- Proton Pass: "migrate passwords and other items from most major password managers in just a few minutes."
- Zoho Vault: LastPass, KeePass, 1Password, Bitwarden and Dashlane.
- LastPass: "You can import your passwords from another password manager into your LastPass vault." It warns that 200 or more items at once may fail.
- Keeper: "several methods of migrating passwords and private data from other products".
- Bitwarden: straight into the organization "from any password management solution".
- 1Password: guides for Bitwarden, Dashlane, Keeper, LastPass, RoboForm and others.
- Dashlane: "from a CSV file or via a direct export from your browser or LastPass, 1Password, PasswordWallet and RoboForm."
- NordPass: "you can import passwords from other password managers and browser extensions to a NordPass vault."

Our list for agencies ranks a manager when its own pages state at least two of the four on the entry plan. All nine qualify. For five users billed annually, the entry plans run from $4.50 a month (Zoho Vault) through $9.95 (Proton Pass), $20 (Bitwarden) and $21.25 (LastPass) to $40 (Dashlane). Our method explains how the rest of the score works.
