What one person's bookings cost
At the regular price billed annually, the entry plan for one bookable staff member costs, a month:
- Setmore Pro: $5 a user, or $12 month to month.
- Zoho Bookings Basic: $6 a user, or $8 month to month.
- YouCanBookMe Individual: $8.10, or $9 month to month. The page opens on a 2-year plan at $7.20 a month, which means paying $172.80 upfront; we price the yearly plan.
- Calendly Standard: $10 a seat, or $12 month to month.
- Doodle Pro: $11 a seat, or $15 month to month.
- Cal.com Teams: $12 a user, or $16 month to month. Its Individual plan is free, so Teams is the first paid plan.
- Acuity Scheduling Starter: $16 for one calendar, or $20 month to month, before taxes.
- Square Appointments Plus: $49 per location. Square shows monthly prices only.

If more than one person takes bookings
How a company counts people decides what a team pays.
- Setmore, Zoho Bookings, Calendly, Cal.com and Doodle charge for each user or seat. Setmore counts every staff calendar as a user. Calendly needs a seat only for hosts; the people booking need none. Doodle's Team plan starts at 2 seats, at $16 a seat billed annually.
- YouCanBookMe Team is $16.20 a member a month billed yearly.
- Acuity Scheduling prices by calendar: Starter has 1, Standard up to 6 for $27 a month billed annually, and Premium up to 36 for $49.
- Square Appointments charges per location and lists unlimited staff calendars on every plan.

Check what the entry plan leaves out
We check five things on each entry plan: two-way calendar sync, SMS reminders, payment at booking, intake forms and video meeting links.
- Setmore, Calendly, Cal.com and YouCanBookMe include all five. Texts can cost extra, though. YouCanBookMe charges 7 cents for each SMS to a US number. Cal.com's Teams plan comes with 750 message credits per member a month, and texts to the US and Canada don't use them. Calendly can't send text reminders during its trial.
- Acuity Scheduling Starter includes four. Text reminders start at Standard.
- Square Appointments Plus includes four. Its pages name no video meeting links, and its calendar sync is with Google Calendar only.
- Zoho Bookings Basic includes three. SMS and online payments start at Premium.
- Doodle Pro includes three. For texts, Doodle points you to Zapier; we didn't find built-in SMS. Its Team card lists "Get paid with Stripe" as an addition to Pro, while its comparison table marks Stripe payments as included on every plan; we go by the plan card, so not on Pro.

If you handle patient information
We don't publish a healthcare-practices list for this category. Our rule for that list starts with a HIPAA Business Associate Agreement (BAA) on the entry plan at no extra cost. On our reading of their pages only Square Appointments meets it (Setmore's pages conflict, see below), and one company isn't a list. Here is what each company's pages say; we can't tell you what HIPAA requires of your practice.
- Square Appointments makes its BAA part of the terms for using Square's services, Square Appointments included, and names no plan or fee. The same agreement says not every Square service is HIPAA-enabled.
- Acuity Scheduling lets you enter into a BAA with Squarespace on Premium, $49 a month billed annually, not on Starter. On a HIPAA account, calendar sync with Outlook and iCloud is switched off.
- Setmore's pricing table reads "HIPAA Signed BAA" on Pro. The BAA comes with a Setmore Health account, which you can only choose when you sign up, and Setmore's Terms of Use say it "is not currently HIPAA compliant".
- Cal.com includes a BAA with Enterprise and with Organizations for 15 users or more. On Teams, a BAA costs $300 a month extra.
- Zoho Bookings lists HIPAA compliance on Premium only, and sends its BAA template on request by email to Zoho's legal team.
- Doodle publishes a BAA that is part of its Master Services Agreement and individual orders. Its pricing page names no HIPAA or BAA for Pro.
- Calendly says it does not currently comply with HIPAA, and YouCanBookMe says it can't claim to be HIPAA compliant.

How the ranking weighs them
The monthly price for one staff member counts for 35% of the score, what the entry plan includes 25%, a free plan or trial and support 15% each, and the bookings limit 10%. If one of these matters more to you than its weight, read the ranking with that in mind. The formula behind each criterion is on how we score appointment scheduling software.

On Plus, card payments cost 2.9% + 30 cents online and 2.5% + 15 cents in person, and 3.5% + 15 cents keyed in or from a card on file. Checked Oct 1, 2026, on Square's pricing page.

Can I cancel and get a refund?
- Setmore lets you ask for a refund within 30 days of trying Pro if you're not satisfied. It can't refund upgrades bought through the App Store or Google Play.
- Acuity Scheduling refunds an annual plan in full if you cancel within 14 days of buying it.
- Doodle refunds an annual plan in full within 14 days, and a monthly plan prorated at any time in the month.
- YouCanBookMe's terms give new subscriptions a full refund within 14 days, not on renewals. Its pricing FAQ says 30 days; we go by the 14.
- Zoho Bookings charges no penalty to cancel, and Zoho refunds in full within five business days after a monthly renewal or 15 days after an annual one.
- Calendly payments are generally non-refundable, and Cal.com's fees are non-refundable except where the law requires.
- Square Appointments lets you unsubscribe any time. We didn't find its refund terms.
