Switching from HubSpot: the commitment term and what the export leaves out

Updated Oct 6, 2026

The short answer

Export each HubSpot object (such as contacts and deals) as CSV, XLS or XLSX, then export emails and notes per contact or through the API, because record exports leave activities out. Turn off auto-renewal: it takes effect at the end of your commitment term, with no refund. Zoho CRM has a named HubSpot migration, Pipedrive has a HubSpot guide and Import2, and Less Annoying CRM runs up to three free imports.

The steps

  1. Step 1 · Takes effect at the end of your commitment term · You're still charged to the end of your commitment term

Check when your commitment term ends

HubSpot doesn't allow mid-contract cancellation. Turning off auto-renewal cancels the plan on the renewal date, and you are charged to the end of the term.

  2. Step 2 · Not stated on its pages; download links expire after 30 days · not stated on its pages

    Export each object's records

Export each object's records (such as contacts and deals) as CSV, XLS or XLSX, with all properties and associations on records.

  3. Step 3 · not stated on its pages · not stated on its pages

    Export emails and notes separately

Record exports carry properties and associations, not activities. Export each contact's data with the Contact activities box selected, or use the engagements API.

  4. Step 4 · Not stated on its pages; Zoho emails you when it's done · not stated on its pages

    Import into Zoho CRM

Zoho's HubSpot migration runs through HubSpot's APIs. Custom modules don't migrate, and only the first ten tags on a record come across. Zoho also offers free migration help on request.

  5. Step 5 · Allow 24 hours for an Import2 migration · Import2 is free up to 1,000,000 records

    Or import into Pipedrive

Follow Pipedrive's HubSpot guide (upload your CSV files, starting with organizations and persons) or use Import2.

  6. Step 6 · Up to 30 minutes per coach-run import · Free, up to three coach-run imports

Or import into Less Annoying CRM

Use the spreadsheet importer yourself, or send the file to a CRM Coach.

  7. Step 7 · Before the end of your current term · No refund of prepaid or unused fees

    Turn off auto-renewal

Turn off the auto-renewal setting in the Account & Billing section of your HubSpot account before the current term ends.

  8. Step 8 · Before the end of your current term · not stated on its pages

Check your export before the term ends

HubSpot's terms say it won't give access to your data after the paid term; its help article says the account drops to the free tools. Keep your own copy either way.

Carries over

  • Records such as contacts and deals export with all their properties and associations.
  • Zoho CRM has a named HubSpot migration that runs through HubSpot's APIs.
  • Pipedrive's guide keeps leads, contacts, deals and activities.
  • Free migration help at Zoho, Import2 (up to 1,000,000 records) and Less Annoying CRM.

What you lose

  • Emails, calls and notes don't come with record exports; they need per-contact exports or the API.
  • No refund for the rest of your commitment term.
  • Zoho's migration skips custom modules and keeps only the first ten tags per record.
  • Worse reading of HubSpot's terms: no access to your data after the paid term ends.

Leaving HubSpot is mostly a timing job. You can export your records whenever you like, but the subscription only ends at the close of your commitment term. Facts below are from each company's own pages, read Sep 30, 2026.

Leaving HubSpot

When you can cancel. HubSpot's help centre says "Mid-contract cancellations are not permitted". You turn off auto-renewal in Account & Billing, and the plan ends on the renewal date. In its example of a 12-month commitment term, you're still charged until the end of the term. The Customer Terms say subscriptions renew for the same length as the last term or one year, whichever is shorter. They also say HubSpot won't refund prepaid or unused fees before the term ends. HubSpot doesn't name a separate early termination fee.

What the export gives you. You export each object separately: contacts, deals and other objects. Choose CSV, XLS or XLSX, and pick "All properties and associations" to keep the links between records. The download link expires after 30 days.

What it leaves out. Record exports don't include activities. For emails and notes, you either export each contact's data with the "Contact activities" box ticked, or use HubSpot's engagements API. That's fine for a few key accounts, but slow for a whole database. Plan for it before your last month.

Your data after cancelling. HubSpot's pages conflict here. The cancellation article says a paid account is downgraded to HubSpot's free tools. The Product Specific Terms say HubSpot won't give access to Customer Data after the paid term ends. We use the stricter reading: finish your exports before the term ends.

Where to go

Zoho CRM has a named HubSpot migration. It runs through HubSpot's APIs. You can undo or rerun it up to three times. Two limits: custom modules don't migrate, and only the first ten tags on a record come across. Zoho also offers free migration help through a request form. The migration page doesn't say how long it takes; Zoho emails you when it's done.

Pipedrive publishes a HubSpot-to-Pipedrive guide. You upload CSV files exported from HubSpot, starting with organizations and persons. Pipedrive suggests a test run of 5-10 records first. If you'd rather not handle CSVs, Pipedrive's support pages describe Import2. It's free up to 1,000,000 records, and Pipedrive suggests allowing 24 hours.

Less Annoying CRM doesn't describe a HubSpot-specific importer on its pages; it has a spreadsheet importer. Its CRM Coaches will run up to three imports for you for free, each capped at 30 minutes. That suits a small contact list more than a deal-heavy database.

Who should move, and who should wait

If your HubSpot term has months left, export now but cancel close to the renewal date, since you pay either way. If you mostly need contacts and deals, any of the three works. If your team relies on email history and notes, budget time for per-contact exports or the API. Or pick Zoho, whose migration pulls from HubSpot's APIs directly. Compare the options on our CRM ranking and see how we score them in the methodology.
