Switching from Calendly: export before you cancel, and replace every link

Updated Oct 6, 2026

The short answer

Export your meeting data as CSV while you're still on a paid plan, since the export isn't listed for Free, and export your contacts too. Then switch to the Free plan; it takes effect at the end of your billing cycle, and Calendly's Customer Terms make fees non-refundable. A changed Calendly link doesn't redirect, so replace your links yourself. Setmore offers a free switch call and CSV import; Cal.com has a Calendly guide and offers a contract credit that depends on contract length, deal size and qualification.

The steps

  1. Step 1 · Downloads at once, or arrives by email · not stated on its pages

Export your meeting data before you downgrade

On the Calendar page, filter the meetings you want and select Export. The export is listed for paid plans, not Free.

    source
  2. Step 2 · Downloads at once; the emailed link expires in 24 hours · Listed for all plans

    Export your contacts

On the Contacts page, select all contacts and choose Export. You also get an email link to the file.

    source
  3. Step 3 · not stated on its pages · Free consultation

    Import your clients into Setmore

Book Setmore's free switch call, then upload your exported contacts. Re-enter upcoming appointments by hand: Setmore says existing appointments must be transferred manually.

  4. Step 4 · About 10 minutes, by Cal.com's own estimate · not stated on its pages

    Or set up Cal.com

Connect your calendar and recreate your event types. Its guide describes no booking or contact import.

    source
  5. Step 5 · not stated on its pages · Conditional credit, set by contract length, deal size and qualification

Ask Cal.com about its Calendly credit

In an offer read Oct 1, 2026, Cal.com says it will credit 100% of your current Calendly contract toward your first year. The fine print says the credit balance depends on contract length, deal size and qualification, so treat it as conditional, not a set saving.

  6. Step 6 · Syncs the past month and the next two years of events · not stated on its pages

Connect your calendar to the new tool

In Setmore, turn on two-way Google sync: your Google events, including Calendly meetings on that calendar, show on your Setmore calendar. Only appointments booked after you activate it go to Google.

    source
  7. Step 7 · not stated on its pages · not stated on its pages

    Replace every Calendly link

Calendly says a changed booking link stops working and doesn't redirect. Update your website, email signature, QR codes and printed material with the new booking link.

    source
  8. Step 8 · Takes effect at the end of your current billing cycle · Payments are generally non-refundable

Switch Calendly to the Free plan

On the Billing page, choose Change plan, then Upgrade/Downgrade, then Free. You keep paid features until the cycle ends. The help centre says you then stay on Free, but Calendly's Customer Terms say it may stop providing the service on cancellation and make all fees non-refundable; we use that stricter reading.

    source
  9. Step 9 · Permanent; it can't be undone · not stated on its pages

Delete the account only when you're done

Deleting is permanent and removes all data. If the owner deletes it, booked meetings may show as Canceled on your connected calendar, so wait until your last Calendly meeting has passed.

Carries over

  • Meeting data exports as a CSV file on paid plans.
  • Contacts export on every plan, and Setmore imports them from a CSV file.
  • Setmore's two-way Google sync brings Calendly meetings on your Google Calendar into Setmore.
  • Cal.com offers a credit against your current Calendly contract, set by contract length, deal size and qualification (read Oct 1, 2026).

What you lose

  • A changed Calendly link doesn't redirect; every shared link must be replaced by hand.
  • The meeting export isn't listed for Free, and Calendly's terms let it stop the service on cancellation.
  • Upcoming appointments must be re-entered in Setmore, and event types rebuilt in Cal.com.
  • No refund for the rest of a paid term under Calendly's terms.

Leaving Calendly is easy to start and easy to get wrong in one place: the order. The meeting-data export is listed for paid plans, and cancelling ends your paid plan. So export first, then downgrade. Facts below are from each company's own pages, read Oct 1, 2026.

Leaving Calendly

Export your bookings. From the Calendar page you can export meeting data as a CSV file. The help article lists the export for Professional, Standard, Standard Plus, Teams, Teams Plus and Enterprise. Free isn't on that list, so run the export before your plan changes.

Export your clients. Contacts export separately, from the Contacts page, on all plans. Select all contacts, then Export. The file downloads, and the emailed copy's link expires in 24 hours.

Cancelling. You cancel by switching to the Free plan on the Billing page. The change happens at the end of your billing cycle, and you keep paid features until then. Calendly says payments are generally non-refundable. Its Customer Terms are stricter: fees are "non-cancellable and non-refundable." We use the stricter reading: expect no refund. Plans renew for the same period, and a renewal may carry a price rise of CPI plus 3%. If you're billed by invoice or on Enterprise, you must give 30 days' written notice before the term ends.

Your data afterwards. Here the pages differ. The help centre says a cancelled plan drops to Free, where you can still schedule. The terms say that on cancellation Calendly may stop providing the service. We use the stricter reading: keep your own copies. Deleting the account is permanent. If the owner deletes it, booked meetings may be removed from Calendly and show as "Canceled" on your connected calendar.

Your links. Its help centre says that when you change a booking link, the previous URL stops working and old links do not redirect. Plan to replace your Calendly link yourself. Before you switch, list every place your link lives: your website, email signature, QR codes and printed material. Replace each one with the new tool's link.

Where to go

Setmore doesn't describe a Calendly importer on its pages, but it offers a free call with its team to plan the move. Clients come across as a file. Its CSV importer takes up to 1,000 contacts at a time, so split a bigger list. Existing appointments must be re-entered by hand. Setmore's two-way Google sync pulls your Google events in, so Calendly meetings on that calendar show on your Setmore calendar. It only sends appointments booked after you turn it on.

Cal.com publishes a Calendly switching guide. You connect your calendar, then recreate your event types; the guide describes no booking or contact import. Cal.com says the switch takes about 10 minutes. It also offers Calendly customers a credit of 100% of their current Calendly contract toward the first year (offer read Oct 1, 2026). It's conditional, not a guaranteed saving: the fine print says the credit balance is set by contract length, deal size and qualification. Teams of 30+ users can use its migration service, priced by quote and typically 1-2 weeks.

Who should move, and who should wait

If you're mid-way through an annual plan, there's no refund for the rest of it. Export now, set up the new tool alongside, and let the paid plan end at renewal. If you take paid bookings, move them to the new tool's payment setup before you change links. If you have many upcoming appointments, Setmore's re-entry rule matters; Cal.com relies on your calendar for busy times instead. Compare both on our appointment scheduling ranking, and see how we score them in the methodology.
