Capsule CRM review: free for two users, but Starter lacks email sync

Updated Oct 15, 2026 · scored under rubric v1

Verdict

Capsule suits very small teams: the free plan covers two users and 250 contacts, and Starter holds 30,000 contacts for $18 a user billed annually. The catch: email sync and workflow automation start at Growth, and support is email only.

Capsule CRM has a free plan for up to 2 users and 250 contacts. Its entry paid plan, Starter, costs $18 a user a month billed annually or $22 monthly, and holds 30,000 contacts with one sales pipeline, a pipeline dashboard and the mobile app. Email sync and workflow automations start at Growth. Human support is by email or message form, Monday to Friday.

What you get on Starter

  • 30,000 contacts.
  • One sales pipeline with a Kanban view.
  • A Gmail Add-on and an Outlook Add-in that store the emails you send. That isn't a two-way sync: "Email Sync", which logs emails automatically, is a Growth feature.
  • Tracks, which are sequences of tasks, and Zapier. Workflow automations start at Growth.
  • A sales pipeline dashboard and basic reporting. The wider "Reporting Dashboards" start at Growth.
  • The mobile app for iOS and Android, with offline support.

So Starter has three of the five basics our rubric checks: pipelines, a dashboard and the mobile app.

Catches and fine print

  • The free plan is tight. 250 contacts and one pipeline, for at most 2 users.
  • Starter is sized for small teams. Capsule calls it "Perfect for businesses with one to five employees."
  • Growth unlocks the basics. Email sync, workflow automations and five pipelines need Growth, $36 a user billed annually.
  • Marketing is an add-on. The Transpond marketing add-on starts from $11 a month.
  • Ultimate has no published price. Sales contacts you after a trial sign-up.

Support

Capsule's contact page says: "You can expect a reply from our friendly customer support team Monday – Friday." Human support is by message form or email. The pricing page lists "24/7 AI Support" on every plan, which is an AI assistant, not a person. No phone or live chat is listed.

Who it suits

Capsule suits one or two people who want a free CRM, and small teams that need a large contact list at a low price and can live without email sync. Look elsewhere if you need automations, email sync or live support on the entry plan. For real estate, Capsule's real estate page says you can track listings through the pipeline, but names no real-estate template, listing-portal lead import or drip campaigns, so it isn't on our real estate list.
