Appointment scheduling

How to choose appointment scheduling software: what the entry plan leaves out

Quick answer

Start with how many staff take bookings and whether you need text reminders and payment at booking. Billed yearly, entry plans run from $5 to $16 a month for one staff member, and Square charges $49 a month per location. Several leave things out: Acuity Starter, Zoho Bookings Basic and Doodle Pro have no built-in text reminders, Zoho Basic takes no payments, and YouCanBookMe charges 7 cents a text.

Scheduling tools all promise a booking page and fewer no-shows. The differences are in the cheapest paid plan: how it's priced, whether it sends texts, whether it takes payment, and who answers when something breaks. Here is what our appointment scheduling ranking weighs, what the 8 tools charge, and the traps we found on their own pages, read on Oct 1, 2026.

What we weigh, and why

We score each tool on its entry plan, the cheapest paid plan for one bookable staff member, because that is where most small businesses start. The formulas are in how we score scheduling tools.

  • Price for one staff member, 35%. The regular monthly price, counting annual prepay. $5 or less scores 10 and $50 or more scores 0.
  • What the entry plan includes, 25%. Five things, 2 points each: two-way calendar sync, SMS reminders, payment at booking, intake forms and video meeting links.
  • Free plan, 15%. A free plan scores 10, a free trial 6.
  • Support, 15%. Phone and chat, or 24/7 chat, score 10; one live channel 6; email or a help centre alone 3.
  • Bookings limit, 10%. Unlimited scores 10. A tool that publishes no limit scores 0, because we can't tell you what you're buying.

What you'll pay

Billed yearly, the entry plans cost $5 to $16 a month for one staff member. Setmore Pro is $5 per user, Zoho Bookings Basic $6, YouCanBookMe Individual $8.10, Calendly Standard $10 a seat, Doodle Pro $11 a seat, Cal.com Teams $12 per user and Acuity Scheduling Starter $16 for one calendar. Square Appointments is the exception: Square Plus is $49 a month per location, monthly only. Paid monthly, the other seven cost $8 (Zoho) to $20 (Acuity) a month.

The traps we found

Per staff, per calendar or per location. This decides the bill more than the headline price. For five staff billed yearly: Setmore Pro comes to $25 a month, Zoho Basic $30, Calendly Standard $50 and Cal.com Teams $60. Doodle Team is $80 and YouCanBookMe Team $81. Acuity prices by calendars, so Standard covers up to 6 for $27 a month. Square's $49 covers unlimited staff calendars at one location. A solo provider pays the same $49 at Square as a team does.

Text reminders. Setmore Pro, Calendly Standard, Cal.com Teams and Square Plus include them. Three entry plans don't: Acuity Starter lists "Email reminders" only, Zoho Bookings puts SMS on Premium, and Doodle's own guide says "For SMS, use Zapier". YouCanBookMe includes SMS reminders but charges 7 cents per US text. Cal.com Teams uses credits, 750 per member a month. Calendly can't send texts during its trial.

Payment at booking. Zoho Bookings shows dashes for online payments on Basic; they start at Premium. Doodle's pricing page contradicts itself: the Team card adds "Get paid with Stripe" while the comparison table includes it on every plan, and we read Pro as not including it. Square takes deposits on every plan but charges card fees on top: 2.9% + 30 cents per online payment on Plus.

Video links. Square's pages name no Zoom, Google Meet or Teams links. Setmore names Zoom and Google Meet; we found no Microsoft Teams integration.

Booking caps. Setmore, Calendly, Cal.com and Acuity say bookings are unlimited. YouCanBookMe, Zoho Bookings, Doodle and Square don't state a cap or say unlimited.

The billing view. YouCanBookMe's page opens on a 2-year term at $7.20 a month, $172.80 upfront. Setmore's opens on annual billing; monthly is $12, more than double.

Refunds. YouCanBookMe's Terms give 14 days for a full refund though its FAQ says 30; we use 14. Setmore offers 30 days on Pro, for web purchases only. Acuity and Doodle refund annual plans in full within 14 days. Calendly says payments are "generally non-refundable", and Cal.com's Terms make paid fees non-refundable except where the law requires. We found no refund terms at Square.

Support. Setmore lists 24/7 chat, email and phone on every plan. Calendly Standard has 24/7 email and chat but no phone below Enterprise. Square Plus adds weekday phone support, 6am to 6pm PT, to chat and email. Acuity has weekday live chat and says "We don't offer phone support." YouCanBookMe and Zoho Bookings offer email and scheduled calls. Cal.com and Doodle are email only.

Patient information. Only Square Appointments signs a HIPAA Business Associate Agreement with no plan, add-on or fee named. Acuity lists one on Premium, Zoho Bookings lists HIPAA compliance only on Premium, Cal.com charges $300 a month on Teams, Doodle ties it to a sales contract and Setmore to a Setmore Health account opened at sign-up. Calendly says it doesn't offer one, and we found none on YouCanBookMe's pages. With one tool meeting our healthcare rule, we don't publish a healthcare list.

A checklist before you buy

  1. Count the staff who take bookings, and the locations they work from.
  2. Price the plan for that number, yearly and monthly, before comparing headline prices.
  3. Check that text reminders are on the plan you'd buy, and what each text costs.
  4. If clients pay when they book, confirm payments are on that plan and add the card fees.
  5. Check video links if you meet clients online, and calendar sync for the calendar you use.
  6. Look for a stated bookings limit. No statement isn't the same as unlimited.
  7. Read the refund window before you pay for a year or two upfront.
  8. Check the support channels on your plan, not the top plan.
