Appointment scheduling

How much does appointment scheduling software cost?

Quick answer

Billed yearly, scheduling entry plans cost $5 to $16 a month for one staff member: Setmore $5, Zoho Bookings $6, YouCanBookMe $8.10, Calendly $10, Doodle $11, Cal.com $12 and Acuity Scheduling $16. Square Appointments' Square Plus is $49 a month per location, billed monthly. Paid monthly, the other seven cost $8 to $20. Seven of the eight tools also have a free plan.

Scheduling software looks cheap until you add staff, switch to monthly billing or start sending texts. Here is what the 8 tools in our appointment scheduling ranking charge, from their own pages, read on Oct 1, 2026.

So one staff member costs $5 to $16 a month billed yearly, and Square $49 a month. Acuity's prices exclude taxes, and Zoho's add local taxes.

Yearly or monthly

Every tool except Square, which shows monthly prices only, discounts annual billing. The gap is widest at Setmore: $12 a month against $5, which is $144 a year per user instead of $60, or $84 more. At Calendly and Zoho Bookings monthly billing costs $2 a month more, at Doodle, Cal.com and Acuity $4 more, and at YouCanBookMe $0.90 more.

YouCanBookMe also sells a 2-year term, the view its page opens on: Individual at $7.20 a month, paid as $172.80 upfront.

Five staff

Billed yearly, a team of five costs:

  • Setmore Pro: $25 a month ($5 a user).
  • Acuity Standard: $27 a month for up to 6 calendars.
  • Zoho Bookings Basic: $30 a month ($6 a user).
  • Square Plus: $49 a month for one location, billed monthly.
  • Calendly Standard: $50 a month ($10 a seat). Teams is $16 a seat.
  • Cal.com Teams: $60 a month ($12 a user).
  • Doodle Team: $80 a month ($16 a seat).
  • YouCanBookMe Team: $81 a month ($16.20 a member).

Acuity and Square don't charge more for each extra staff member, so the gap to per-user plans narrows as a team grows. For one or two people, Setmore, Zoho Bookings, Calendly and Cal.com cost less than either.

The next plans up

Billed yearly: Zoho Bookings Premium is $9 per user a month (adds payments and SMS), YouCanBookMe Professional $11.70, Calendly Teams $16 a seat, Doodle Team $16 a seat from 2 seats, Calendly Standard Plus $18 a seat, Acuity Standard $27 and Premium $49, and Cal.com Organizations $28 per user. Square Premium is $149 a month per location. Calendly Enterprise starts at $15k a year and 50 seats, and Doodle Enterprise at $15k.

Refunds and cancelling

Annual billing saves money, so check the way out first. Acuity and Doodle refund annual plans in full within 14 days of purchase; Doodle gives monthly subscribers a prorated refund. Setmore offers 30 days on Pro for web purchases. YouCanBookMe's Terms give 14 days, though its FAQ says 30; we use 14. Zoho's refund policy allows a full refund within five business days of a monthly renewal or 15 days of an annual one. Calendly calls payments "generally non-refundable", and Cal.com makes paid fees non-refundable except where the law requires. We found no refund terms at Square.

Free plans and trials

Seven of the eight have a free plan. Setmore's covers up to 4 users, Calendly's one event type, Cal.com's Individual plan one user, Zoho's one user, and YouCanBookMe's one booking page. Doodle's needs no card, and Square Free is $0 a location with card fees. Acuity has no free plan, only a 7-day trial with no card needed. Square Plus has a 30-day trial.
